* Always anticipating the bosses needs to help take the stress off. * Responsible for several personal accounts, and accounts payable. * Manage multiple inventories on Excel. * Supervise staff, payroll, payroll taxes, W-2’s, and quarterly employee reports. * Over-see and arrange for all maintenance repairs and new construction. * Extensive researching via internet. * Assist with everyday agenda, stock market purchases and sales using Reuter’s software program. * Keep extensive calendar and itineraries in Outlook, set appointments, meetings, reservations, etc. * Type all personal and business correspondence letters, documents, memos and emails. * Answer all RSVP’s, sort all mail and incoming emails. * Prepare contracts for signature. * Schedule business trips and family vacations for both domestic and international travel; hotel, car, dining, entertainment. * Set up video calls via Skype and conference calls. * Plan and organize major parties, seated dinners and events (personal and political) for over 300 people. Work closely with special security teams, Homeland Security and the Secret Service to set up security perimeters for visiting VIP's. * Full Charge of setting up filing system for both paper and electronic files. * Handle all art purchases, voucher for payment and arrange for shipping; telephone auction bidding (both live and via the internet). * Make all arrangements for large purchases such as cars; get all bids, arrange test drives, prepare documents for signature in multiples; renew all license plates, file for special plates. * Work with CEO on editing/proofing personal biography from editor, copy file pictures and text for the author’s use. * Numerous other responsibilities. * Bonded Notary for the State of Texas.
